This is a known error from the old UI. The new menu will be launched this afternoon. The old “Note” input field will be added, with the functionality that only the document owner can edit.

The new input field (unlimited number per document, can also be used for the observing user) will not be searched in the search field.

I discovered this service yesterday.

After a few tests I was generally satisfied with the service but it could still be much improved.

Here is a list of points which in my opinion require improvement.

1. The ability to create subdirectories, I didn’t understand why this wasn’t a sine qua non feature and why it wasn’t already available. This is the most important thing in document classification.

2. Sending documents in your docsafe by several e-mail addresses such as: private and teacher. Management by white list, I don’t think I’m the only one to use several addresses.

3. Automatic management of new documents automatically imported by email or other, by a system of rules, which can include several criteria such as “sender, keywords, etc” in order to automatically classify it in the right folder.

4. Have the possibility of having a local synchronized copy of your DocSafe on your PC. This will greatly facilitate the editing of certain documents using tools such as Office or other programs.

  1. Subdirectories: As a health insurance invoice cannot be in the “bills” and “health” folders at the same time, we would like to replace the folders with the “tags” system. But apparently, you users are used to using folders and perhaps also for you it is important to maintain the same structure as on your HD. However, the Subdirectories are on the work list for an upcoming release. This represents an improvement, we’ll let you decide…
  2. Multiple Emails: This is also on the list, a little further down. To achieve faster email sending functionality, we had given up on managing multiple emails. But it will be added.
  3. Automatic management: a truly intelligent system is really difficult to establish. We looked at a few solutions, but none convinced us. Your comment and suggestion will be used to redefine the proposal.
  4. Sync: I have a question. In your opinion, the synchronization should be automatic (in the background), or can it be started with authorization each time? I’m asking you, because automatic sync will need the key to decrypt the documents.

There should be an effective keyword search system.

Nothing works there, to the point that DocSafe is not really useful to me. Indeed, what’s the point of storing things if you can’t find anything later?

The search should even be able to be done in the PDF (as long as it is not a scanned image of course!)

Concerning point 4: synchronization and offline consultation of documents, I saw an application like Dropbox or OneDrive or even access via WebDAV which would allow access to documents directly from Windows Explorer.

1. No “full text search” in PDFs recognized in OCR, too bad, in the future?

2. Tags or labels are very good for research. You can make a filter with several tags, but if you create 50 it quickly becomes complicated.

3. the binders it’s a shame that they exist, in fact users should be able to put indicators like the tags (labels) which already exist but also other lists of cross-references, like the status (paid, to pay, to do , classification) but also lists with a choice of keywords, lists of authors, fiscal year, etc… finally a wide choice of cross-references, and all in a single binder.

4. the search at the top is not documented, it is not clear whether we can add AND, "", + or filters. An advanced search would be nice, right?

5. once you have obtained a set of documents by filtering, you cannot download them in bulk, in particular to make them available to the auditors, in a CD, DVD or other access. The only possibility remains to share a file with him….

6. I haven’t managed to get the sending email to docsafe to work… but does it separate the annexes (invoices, contracts, reports) which are in the email?

Adobe Bridge does this type of cross-referencing classification very well, but it is not cloud based…..

Interesting improvements:

  • Preview of the document in the form of an image (thumbnail), makes it easier to find and recognize the document. E.g. in the right column when you click on a document.
  • “View” the document in the browser for formats other than PDF, including word documents.
  • Send by email: automatically add tags/labels based on the subject of the email. For example, if I send a PDF document to the docsafe email address with the subject “Bank / Invoice”, docsafe automatically adds the PDF to the “Bank” folder with the label “Invoice”. If it cannot find the folder added to the subject of the email (or if there is no subject), the message remains in the general inbox.
  • Indexing of document content (if PDF or WORD) for “full text” search
  • Customization of the folder icon.

Thank you all for the comments and suggestions. I’ll reach out to you for an answer, but first I’d like to inform you of the changes that were made available today:

  1. Docsafe now manages your passwords. These are secured with the same encryption and saved in Switzerland as the documents in your Docsafe.
  2. Document groups can be created in files in which very detailed organization of documents is desired. In addition, labels and notes allow differentiated marking and filtering.
  3. Administering multiple accesses to the same Docsafe has become easier. In particular, several Swisscom Logins of the same customer can now be easily authorized.
  4. The link in the validation email now also works with Swisscom Webmail.

An interesting and practical function would be to be able to modify the file data (name, date, author) directly from the preview window when you click on “LOOK”.

Because currently, we cannot modify anything via the black banner which appears at the top. However, it is so much more practical to be able to enter useful information with the displayed PDF…

My opinion

  1. For the TAG and Subdirectories part, I think that the two systems are complementary, one should not replace the other because it is simpler to search for docs by Tags than in 1012 directories, but the directories allow to organize your archives

  4. Synchro, for my background, I suggest you take a look at Code42 (Crashplan) their systems are very, very efficient, you choose what you want to archive and the system keeps the archive up to date
